We are hiring a People Operations & Payroll Specialist. Location is in one of our offices in Hamburg, Bremen or Munster.

In this role, you are a central part of how we support every employee. You deliver the best employee experience and keep the operational People machinery running. You are the first point of contact for all questions about the employment relationship. You keep contracts and documents up to date. You make sure everyone is paid on time and correctly. You give clear answers when they are needed. For most employees, this is what good People support means.
You are joining at a real turning point. Operational work is moving from the country teams into a company-wide People Operations & Architecture team. So you will do more than keep operations running. You will help build them.

This role has two focus areas: Payroll and People Operations.

Your area of responsibility
This role has two focus areas: Payroll and People Operations.
Payroll
- Independently run the monthly payroll for Germany from start to finish, so that all employees are paid correctly and on time
- Collect and process all payroll inputs, including hires, leavers, salary changes, bonuses, absences, benefits and deductions
- Perform payroll calculations, review results, analyze variances and make corrections before finalization
- Create payment files, carry out the required checks and approvals, and reconcile with Finance
- Manage registrations and deregistrations, tax information, social security contributions and other statutory payroll requirements
- Submit required reports and declarations to authorities, health insurance providers and other external bodies
- Manage local benefits and answer employee questions about salary, deductions, taxes and social security
- Carry out year-end activities, statutory reporting, certificates and audit requests
- Update payroll documentation, track legal changes and optimize recurring or manual steps
- Manage employees across the full lifecycle, including contracts, onboarding, contract changes, absences and offboarding
- Maintain accurate employee data and documents in HiBob: complete, up to date and compliant
- Handle requests from employees and managers through our ticketing system, in line with agreed service standards
- Advise employees, managers and other stakeholders on People processes and local labor law requirements, escalating complex or sensitive cases
- Update local policies, templates, process documentation and knowledge base content
- Handle employee data securely in accordance with GDPR and local requirements
- Collaborate with People, Finance, IT and other teams for a smooth employee experience
- Independently deliver smaller improvement projects on documentation, data quality and process consistency, and contribute to cross-market and cross-functional standardization initiatives
- Identify repetitive tasks and help simplify, document or automate them, including covering other markets where needed
- Share knowledge with newer team members and support them in navigating processes and tools
What You Will Do Day To Day
- Independently run the monthly payroll cycle in DATEV, including all inputs, calculations, checks and corrections
- Manage reporting, tax and social security matters, and communicate with authorities and health insurance providers
- Maintain employee data and keep HiBob records current and accurate
- Handle employee and manager requests through the ticketing system
- Create and update contracts, templates and process documentation
- Collaborate with People, Finance and IT for a smooth employee experience
- Spot compliance issues and escalate complex cases
- Contribute to year-end closing and the annual wage tax reconciliation (Lohnsteuerjahresausgleich)
